Enrollment by Shared Device Mode

Alternative enrollment methods are highly recommended over shared device mode. In most cases, a Join URL can be leveraged by the project team on a common device to enroll multiple participants. Please contact us if you are considering Shared Device Mode.
Shared device mode allows a project coordinator to use a single device with multiple in-person participants to enroll and complete initial surveys that have been scheduled on enrollment. Commonly, shared device mode is used in clinic settings where participants may not have their mobile device accessible, such as in a sleep study clinic or in preoperative surgery. Participants can later use the MyDataHelps app on web or mobile and log in with their username/password they entered while using the shared device.
If you want a project coordinator to complete surveys on behalf of a participant, you should instead use coordinator-entered surveys.
Setting up a Shared Device
To set up MyDataHelps on a shared device:
- Go to the Enrollment Settings tab and ensure that “Allow Open Enrollment” is checked. Note the code, as you will need it in a moment.
- Install MyDataHelps on your shared device. Your shared device must be running iOS. Android is not supported at this time.
- Go to the mobile device’s Application Settings screen (“Settings -> MyDataHelps”).
- Enter the enrollment code.
You may only set up a shared device for a single project.
On a shared device, MyDataHelps will not perform notifications or collect sensor data.
Enrolling Participants Using the Shared Device
Once you have set up a shared device, multiple participants can enroll and complete initial surveys on the device as follows:
- Launch MyDataHelps on the shared device. You will be taken to the about/enrollment screen of the project configured in the application settings.
- If the participant already has a MyDataHelps account from another project, they should select "Sign In" and enter their existing username and password.
- Select "Join" to enroll the participant in the study.
- The participant will complete any surveys that have been scheduled to be delivered on enrollment.
- Once the participant has completed the surveys, the coordinator should select “Sign Out” so the device is ready for the next participant.
After enrollment, the participant will receive an email verification from MyDataHelps. This serves as a reminder for them to use the MyDataHelps app on web or mobile to continue participating in the project. They will use the same username/password they entered on the shared device to sign into MyDataHelps on their own device.
If the participant forgets their username or password when they try to use MyDataHelps on their own device, they can select the ‘Forgot your password’ link on the MyDataHelps sign in page to reset their password.
Completing Additional Surveys on the Shared Device
After enrollment, participants may use the shared device to complete additional surveys.
- Launch MyDataHelps on the shared device. You will be taken to the about/enrollment screen of the project configured in the application settings.
- Select "Sign In" and have the participant enter their username and password.
- Select a survey from the task list to complete.
- Select "Sign Out" when finished.
Canceling Shared Device Mode
You can clear the project code from the Application Settings at any time to return MyDataHelps to its normal, single-user mode.
